Terms & End-User Agreement

Effective September 1, 2025 | Version 1.0

Purpose and scope

These terms govern authorized use of Urban iQ Work Orders and its supporting services, operated by Urban iQ Corp. The app is a private operational tool for work orders, labor coverage, reports, attendance, and supported accounting workflows. It is not a public marketplace.

After these terms are provided to you and made effective, use of the app is subject to them and to the access granted by Urban iQ. If you cannot agree or need assistance, contact the office for instructions and an appropriate alternative way to submit required work or time information.

Permission to use the app

Urban iQ grants an authorized user a limited, non-exclusive, non-transferable permission to use the app for approved Urban iQ business activities, while that user's authorization remains active. Access is limited to the assigned account, role, work, and approved devices.

You may not give others your account, bypass permissions, access unrelated records, interfere with the service, introduce malicious code, or use the app for unlawful activity. You may not copy or distribute the app for an unrelated business or attempt to obtain source code except where applicable law permits.

Accounts and device security

Use your own authorized account and protect your password and device. Promptly tell the office about a lost device, suspicious access, or a change in responsibilities that affects permissions. Urban iQ may require device approval, restrict access, or revoke an account when its business authorization ends.

An account action applies to the service and does not guarantee that all prior downloads, screenshots, exports, or offline copies have been recalled. Follow Urban iQ instructions for returning company information and removing unauthorized copies.

Accurate work and time records

Record work, hours, materials, expenses, photos, and completion status truthfully. Do not mark requested work as performed unless it was actually performed. Report mistakes and missing punches promptly; use the office review process for corrections.

All time worked must be reported even if the app, location service, camera, or network is unavailable. A failed location check, missing photo, delayed upload, or unrecorded clock-out is not by itself proof of hours worked or not worked. Follow the office's alternative reporting procedure when necessary.

App records support operational review. They do not waive wage, overtime, break, privacy, safety, or other non-waivable rights, and they do not independently determine whether a person is an employee or independent contractor.

Work orders, approvals, and site instructions

An assignment, acceptance, field report, or submitted completion report is not automatically an office approval, client authorization, purchase order, or approval to invoice. Follow the permissions and approval steps shown in the app and the instructions of the responsible office contact.

Follow site access and photography rules. Collect only relevant work information, and do not upload unrelated personal documents, payment-card details, government identification numbers, passwords, or other unnecessary sensitive information.

The app does not replace professional judgment, required permits, licensed supervision, safety procedures, or emergency services. Report an urgent hazard directly through the applicable emergency or site procedure.

Your content and company information

Ownership of submitted information remains with its existing owner, subject to applicable employment, subcontractor, client, and other agreements. These terms do not transfer a third party's ownership to Urban iQ.

You authorize Urban iQ and its service providers to store, process, synchronize, back up, and share submitted information as reasonably needed to operate the app and the authorized business workflow described in the Privacy Policy. You must have authority to submit the information and must respect confidentiality and other people's rights.

Use client and company information only for your authorized duties. Do not disclose building access details, private contact information, internal costs, or other restricted records outside the authorized workflow.

QuickBooks and other services

Only an authorized administrator may connect a QuickBooks company or use restricted accounting functions. Verify the company, client, building, and selected records before applying a synchronization. Connecting a company or importing its customers does not itself authorize creating, sending, or collecting an invoice.

QuickBooks, communications providers, hosting services, and device platforms are independent services with their own terms and availability. Connecting a service may require authorization by the account holder. Urban iQ does not ask users to share an Intuit password with the app.

An authorized administrator may revoke the connection through Intuit. Revocation stops authorized future access but does not automatically delete information already imported into business records. Other deletion requests are handled through the office and the Privacy Policy.

AI-assisted features

Enabled AI tools may help authorized office staff translate reports, prepare summaries, or draft descriptions. Their output is a draft, may be inaccurate, and must be checked against the original evidence before use.

Do not rely on an AI result as the sole basis for approving time, determining pay, making a safety decision, closing a work order, or authorizing an invoice. Follow the app's required office review and approval process.

Availability, suspension, and changes

The app may be unavailable or delayed because of maintenance, connectivity, device limitations, provider outages, or other technical issues. An offline save is not confirmation that the office or another person has received the information. Use the office fallback process for urgent work or time reporting.

Urban iQ may correct errors, update features, restrict access for security or misuse, or end access when a person's authorization ends. Where appropriate, the office will provide practical instructions for pending records and continuing business needs.

We do not promise uninterrupted or error-free operation. Nothing in these terms excludes liability that cannot lawfully be excluded, waives statutory rights, or changes a separately signed client, employment, or subcontractor agreement. Such agreements continue to govern their own subject matter.

Privacy, changes to terms, and contact

The Privacy Policy explains the app's collection and use of personal information, including location evidence, photos, QuickBooks data, and optional AI processing. Read it together with these terms and applicable workplace notices.

Urban iQ will identify the effective version of these terms and communicate material changes before they apply, obtaining additional agreement where required by law. Changes do not retroactively remove non-waivable rights.

For app support, access problems, work-record corrections, or privacy requests, contact Urban iQ Corp. at support@urbaniqcorp.com. Workers may also contact the office administrator who provided their account.
